Company & Policies
Terms & Conditions
These terms govern the use of this website and the administrative services we provide. They apply from the moment you instruct us in writing.
Last revised 9 September 2026
The parties
These terms are between Congress Registration Support Ltd, company number 17450054, registered at 128 City Road, London, United Kingdom, EC1V 2NX ("we", "us"), and the business client instructing us ("you"). We contract with businesses and professional organisations only.
What we do
We provide administrative coordination and document preparation for business meetings and professional sessions. That work consists of reviewing and completing participation documentation you supply, maintaining the attendee and contact records you place with us, coordinating submission to the recipients you designate, tracking confirmations, and carrying out administrative follow-up.
What we do not do
- We do not organise, host, promote or run meetings, sessions or programmes of any kind.
- We do not sell, resell, allocate or distribute participation entitlements of any kind.
- We do not collect, hold, transmit or remit money on behalf of any third party.
- We do not provide legal, immigration, tax, accounting or regulatory advice, and nothing we prepare should be treated as such advice.
Formation of an engagement
An engagement begins when we have confirmed the scope in writing, stated our professional service fee, and received your written acceptance. Nothing on this website is an offer capable of acceptance, and no order is placed through this website.
Your obligations
- Supply complete, accurate documentation and records, and correct them promptly where errors emerge.
- Hold the lawful basis required to share any personal data with us, and provide the notices that basis requires.
- Identify each designated recipient in writing and tell us promptly when that instruction changes.
- Respond to queries and approvals within a reasonable time, since our timetable depends on them.
Our standard of work
We will perform the agreed work with reasonable care and skill by suitably experienced personnel. We work from the material you supply; we cannot verify the truth of underlying facts and we do not warrant any outcome, decision or response from a designated recipient.
Fees
Fees are agreed in writing before work begins and are payable against our invoice within the period stated on it. Fees cover our administrative work only. Where the scope changes, a revised fee is agreed in writing before the additional work is undertaken. Our Payments & Fees page forms part of these terms.
Confidentiality
Each party will keep the other's confidential information in confidence and use it only for the engagement. This obligation survives the end of the engagement and does not apply to information a party is required by law to disclose.
Intellectual property
You retain all rights in the material you supply. On payment in full, you own the completed documentation we prepare for you. We retain rights in our own templates, checklists and internal working methods.
Liability
We do not exclude liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be excluded. Subject to that, we are not liable for loss of profit, revenue, goodwill or opportunity, or for indirect or consequential loss, and our total liability arising from an engagement is limited to the fees paid by you for that engagement.
Suspension and termination
Either party may end an engagement on seven days' written notice. We may suspend work where an invoice is overdue, where instructions are unclear, or where continuing would breach a legal obligation. On termination you remain liable for work properly performed up to that date.
Website use
The content of this website is provided for information. You may not copy, republish or reuse it commercially without our written consent, and you may not attempt to interfere with the operation or security of this site.
Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them.
